Responsibilities

  • Payroll Administration
  • Manage end-to-end bi-weekly U.S. payroll processing, ensuring accuracy, compliance, and timely delivery.
  • Serve as the first point of contact for employee inquiries related to payroll, retirement plans, and benefits.
  • Calculate and process final pay, including vacation payouts, in coordination with the U.S. HR team.
  • Maintain employee records, including I-9 documentation, and ensure compliance with federal and state requirements.
  • Prepare and submit month-end payroll reports and reconciliations.
  • Administrating Benefits
  • Administer employee benefit programs, including health, dental, vision, 401(k), and other voluntary benefits.
  • Manage benefits enrollment, changes, and ongoing administration, providing guidance and support to employees.
  • Partner with the U.S. HR representative to coordinate and execute annual open enrollment.
  • Support monthly benefit reconciliations, including U.S. and Canadian billing (e.g., SunLife).
  • Reporting & Compliance
  • Generate and distribute regular payroll and HR reports, including:
    • Bi-weekly payroll and overtime reports
    • Employee Assistance Program (EAP) utilization reporting
    • Health Savings Account (HSA) reporting and billing
    • 401(k) billing and compliance reporting
    • Termination and headcount reporting for Finance
    • Maintain accurate records of payroll transactions and ensure compliance with internal policies, SOX controls, and statutory requirements.
    • Prepare Dayforce journals and other ad hoc payroll/benefit reports as needed.

 

Requirements

  • S. Payroll certification / PCP designation preferred
  • 3+ years of U.S. payroll experience
  • Cross-border payroll experience an asset
  • Knowledge of I-9, COBRA, HSA, 401(k), and U.S. employment laws
  • Proficient in Dayforce and advanced Excel
  • Strong analytical and organizational skills
  • Effective communicator; able to manage multiple priorities in a fast-paced environment
